A well-established and growing investment firm is seeking a polished, service-oriented Office Manager / Receptionist to support its New York office of approximately 30+ professionals. This role is essential to maintaining a welcoming and professional office environment, and it offers direct exposure to senior leadership and key business functions. The ideal candidate will bring a high level of attention to detail, strong communication skills, and the ability to create structure in a fast-paced setting.
This is a fully onsite position with the potential for long-term career growth across administrative and operational areas of the firm.
Key Responsibilities:
• Act as the first point of contact for employees, clients, and guests; greet visitors and manage front desk activities
• Oversee day-to-day office operations and delegate tasks to administrative support staff
• Manage scheduling of conference rooms, guest registration, and meeting coordination
• Support calendar management, travel arrangements, and expense reporting for senior leaders
• Handle mail processing, including FedEx, UPS, and messenger deliveries
• Maintain office supplies, manage vendor orders, and restock common areas
• Coordinate catering and ensure food vendors meet building requirements
• Support firm events, ad hoc projects, and special requests from the leadership team
• Maintain cleanliness and organization of communal spaces, including reception and break rooms
• Ensure confidentiality and professionalism in handling sensitive information
