We are looking for a highly organized and proactive Executive Assistant/Office Manager to support executive-level operations in Hoboken, New Jersey. This is a long-term contract position, ideal for someone who thrives in fast-paced environments and excels at managing schedules, travel arrangements, and office coordination. The role requires exceptional attention to detail and the ability to handle sensitive information with discretion.
Responsibilities: • Oversee calendar management for executives, ensuring appointments and meetings are scheduled efficiently. • Arrange and coordinate travel plans, including booking flights, accommodations, and transportation. • Prepare detailed itineraries for executive travel and ensure all arrangements run smoothly. • Organize and facilitate executive meetings, including preparing agendas and taking minutes. • Act as the primary point of contact for internal and external communications on behalf of the executive team. • Maintain office functions, ensuring supplies, equipment, and administrative tasks are managed effectively. • Handle confidential information with discretion and professionalism. • Support ad hoc administrative duties and special projects as needed. • Collaborate with other team members to optimize workflow and improve office operations. • Proven experience as an Executive Assistant or Office Manager in a detail-oriented environment. • Strong skills in calendar management and travel coordination. • Ability to plan and execute detailed travel arrangements, including international itineraries. • Excellent organizational and multitasking abilities. • Proficiency in communication, both written and verbal, with several years of experience demonstrating effective interaction. • Familiarity with office management tools and software, such as Microsoft Office Suite. • High level of discretion and ability to manage sensitive information. • Bachelor’s degree or equivalent experience preferred.
